Paper: Retain in Office for 1 year and then transfer to State Records Center. Retain in State Records Center for 3 years and then destroy.

Once an account has been paid in full or written off, the ledger card is pulled from the open files. The office staff has no further use of the record then, but it should be retained for three years in case of an audit.
