Scope and Content

The purpose of these reports was to preserve for National Guard organizations an accurate, permanent monthly report. The report formed the basis both for determining the strength of these military units and for doing the monthly pay roll. They documented attendance by officers and enlisted men at particular drills or exercises as mandated under the National Defense Act of 1920 which included extensive provisions for the reorganization of the National Guard, its personnel training, and its reporting to the War Department. The forms which make up these reports were issued by the War Department for completion.

The type of drills included armory and field training, encampments and maneuvers, schools of instruction, training at service schools or with the Regular Army, marching band practice, etc. These are identified along with the date; number within the month; and which division, brigade, regiment, battalion, company and subdivision participated.

The attendance of each individual atparticular exercises was noted, along with his rank and enlistment date. A brief statement on the quality of the individual's performance may be included. Notations on transfers or changes in rank may also be noted. Totals were tallied both to record enlisted strength (individuals enlisted, even if absent at a particular drill) and those entitled to credit for attendance (attendance determining pay). Returns were further broken into tallies of numbers of specialists, enlisted men, and, until 1937, caretakers and horses.

The forms were signed and dated, with place given, by the commanding officer. The Office of the Instructor indorsed the forms on the back, verifying their correctness and authorizing a payroll to be drawn up based on the data before forwarding the form to Corps Area Headquarters for filing. Other copies were sent to the State Adjutant General and the federal Militia Bureau of the War Department.

The forms come from various units around the state with the exception ofthose from 1947-1950; the latter are from Beaver, Utah only. Statewide forms were bound together in six-month groups from January to June and July to December; the Beaver, Utah forms were loose sheets.
